Event Operations & Logistics Coordinator

Role Overview
We are looking for an organised, Event Operations & Logistics Coordinator to manage supplier deadlines, client communication, and overall event execution. In this role, you will bridge the technical side of event production with daily operations. You will use SketchUp to plan layouts and have design knowledge to handle files for printers, keeping your core tasks as project management: following up with clients, holding suppliers to deadlines, and ensuring seamless operations on-site.

Key Responsibilities
  – Proactively chase clients for required graphics, approvals, and specifications. Coordinate continuously with suppliers and print vendors to ensure zero missed deadlines.
  – Build and adjust 3D layouts in SketchUp for event spaces and structures. Review client-submitted graphic files for print readiness (resolution, bleeds, dimensions) and compile everything for print production.
  – Direct build-up and teardown operations at event venues. Act as the primary person during physical setups to match client agreements and safety standards.
  – Support year round event management tasks outside of show builds, including vendor sourcing, operational logistics, inventory management, and administrative tracking.
  – Work closely with team members to keep actively learning internal operations and adapt your skillset as event requirements evolve.

Qualifications
  – Strong initiative with a reputation for chasing details, driving client responses, and holding vendors accountable.
  – Excellent spoken and written English is essential. Understanding of Maltese is considered a strong advantage.
  – Must possess a valid Driving License for travel between venues, client meetings, and supplier checks.
  – Proficiency in SketchUp (required) and working familiarity with Adobe Creative Suite (Illustrator, Photoshop) and general graphic formatting.
  – Understanding of large-format print requirements, file preparation, and spatial event layouts.
  – Adaptable, highly organised, and comfortable switching between administrative follow-ups, technical design checks, and hands on venue work.
  – Eager to learn broader event management processes from the existing team.
